There’s more noise about AI right now than at almost any point in tech history. Every tool has “AI” stapled to it, every week brings a new must-have, and it’s nearly impossible to tell what’s genuinely useful from what’s marketing. If you run a small business, the pressure is real: you don’t want to fall behind, but you also can’t afford to throw money at hype.

Where AI genuinely helps

The pattern is simple: AI is worth it when you’re drowning in repetitive work that involves reading, sorting, writing, or answering. Real examples that pay off:

  • Handling repetitive questions. An assistant trained on your business can answer the same customer or staff questions instantly, freeing up your time.
  • Processing documents. Pulling key information out of invoices, contracts, forms, or emails - automatically, instead of by hand.
  • Sorting and routing. Classifying incoming messages, tickets, or leads so the right thing gets to the right place without manual triage.
  • First drafts at scale. Generating starting points for content, replies, or reports that a human then refines.

In each case, AI isn’t replacing judgment - it’s removing the repetitive grunt work around the judgment.

Where AI usually isn’t worth it (yet)

  • When a simple automation or a basic tool would do the same job cheaper and more reliably.
  • When the problem is small enough that setup costs more than it saves.
  • When “add AI” is the goal instead of solving an actual problem.

That last one is the big trap. Adding AI because it’s trendy is how businesses waste money. The question is never “should we use AI?” - it’s “what problem are we solving, and is AI the best tool for it?”

Pick one painful, repetitive task. Be honest about how much time or money it actually costs you. Then look at whether AI (or simpler automation) can take it off your plate for less than that. Start small, prove the return, expand from there.
